This refund policy outlines when and how customers can get money back for unused or cancelled travel products and services booked through Phantom Xpress.
Flights: Flight refund eligibility and any cancellation penalties or change fees are dictated solely by the airline’s own policies. We act only as the intermediary agent between airlines and customers for air travel reservations. Refunds must be authorized and processed by the respective airline.
Hotels: Nightly rates are refundable excluding any prepaid non-refundable charges at the hotel’s discretion if cancelled by the individual property’s cancellation deadline, typically 24-48 hours prior to arrival. Late cancellation or no shows are non-refundable and will be charged full stay amounts.
Vacation Rentals: Full rental prepayments on apartments, villas, cabins and other alternative accommodations are non-refundable for cancellations after payment due to instant loss of inventory. We strongly advise purchasing travel insurance for full refund coverage on rentals.
Car Rentals: No refunds are issued for unused rental days or early returns. Cancellations within penalty-free period (usually 48 hours) allow full refunds. Cancellations beyond that are subject to penalty fees assessed by the rental provider.
Activities & Tours: Refund eligibility for prepaid tickets to attractions, shows and sightseeing tours depends on respective vendor policies. Phantom Xpress facilitates bookings but does not control provider cancellation terms, which are highlighted at checkout.
Travel Insurance: Trip insurance premium costs are non-refundable once purchased, as policies take effect immediately after payment. Only travellers who are eligible for cancellation waivers under extenuating covered circumstances can file claims to recover non-refundable trip expenses from the insurer as per policy documentation.
Refund Processing Time
Eligible refunds are initiated within 3-5 business days after authorized cancellation confirmation. Return of funds to your original payment method may take up to 14 business days depending on your bank’s processing times. No cash or check refunds are issued.
Disputing Charges
If you dispute any credit card or other charges made by Phantom Xpress or our partners, we require written notification within 90 days of the transaction date detailing the reason for the dispute along with supporting documents. You agree not to file any chargeback outside of this 90-day notification window.
Modifications
Phantom Xpress reserves the right to modify this refund policy at any time in order to account for changes to travel supplier policies, regulatory changes or improvements to our procedures. The most updated refund terms will always be available on our website.
